The Administrative Assistant supports the Bridge Property Management department with document management, reporting, and administrative coordination. This role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced real estate investment environment.

Key Responsibilities:

Document & Records Management

· Gather property-related documents (service contracts, inventory lists, etc.), ensure they are current, and store them electronically in the correct folders

· Manage property-related documents received at the corporate office, ensuring they are completed and returned in a timely manner

· Ensure Property Management reports are saved to the appropriate shared drive

· Gather signatures from required stakeholders

Reporting & Data

· Generate lender reports and submit to lenders and senior leadership

· Maintain and update department spreadsheets

Communication & Correspondence

· Draft and send letters and correspondence on behalf of the department

· Serve as a point of contact for document follow-up and coordination across teams

Financial & Operational Support

· Enter payables (expense and construction) for site approval

Events & Special Projects

· Assist with ad-hoc projects as needed

· Help plan the company's annual Leadership Conference, including travel to support the event (approximately 1 week in April)

· Help coordinate EA with quarterly team lunches and multiple conferences throughout the year

What you should bring

· 1–3 years of experience as an Administrative Assistant, preferably within a real estate investment environment

· Experience supporting a department or team

· Highly organized, with strong problem-solving skills and the ability to build systems and establish procedures

· Ability to multi-task, work well under pressure, and consistently meet deadlines

· Intermediate to advanced proficiency in Microsoft Office and Teams; experience with Yardi and Asana a plus

· Detail-oriented, with strong typing and proofreading skills

· Excellent organizational, written/verbal communication, and interpersonal skills

· Positive, team-oriented attitude

· Demonstrated ability to resolve conflict effectively and maintain a calm, professional work environment with managers and colleagues
